Shipping times and methods

The shipping time and method will differ depending on whether you order accessories, components, or full systems, as well as your location.

We ship all accessories in small packages via FedEx. If you purchased a component or full system, we will ship it via freight carrier.

Dallas/Fort Worth – Austin – San Antonio

All orders placed before 12:00 pm Mon –Fri. qualifies for “Same Day Shipping” depending on product availability.

Houston

All orders placed before 12:00 pm Mon –Fri. qualifies for “Next Day Shipping” depending on product availability.

If we’re delivering outside of Texas, expect 3-10 business days for delivery, in addition to processing times.

The freight service can deliver to a residence if requested. It also offers lift gate service.

Pick-ups

We do not offer local pick-ups at this time.

Changing the delivery address

Please let us know as soon as possible if you have a change to the delivery address. For faster processing, please let us know about the change in address before your shipment leaves the warehouse.

If you want to change your delivery address after we ship the order, the freight carrier will charge a re-consignment fee.

Additional shipping charges

Most shipping arrangements will be between you and the freight carrier. If the carrier has any additional or special charges for your delivery, Sensible HVAC Wholesale doesn’t cover these charges. The freight company will bill these to you; if you have questions about the charges, please follow up with the freight company.

Warranties

Sensible HVAC Wholesale only sells to licensed HVAC contractors. Protect your purchase by going through the proper channels for warranty service.

If you have a warranty claim, you’ll need to process it with your local distributor similar to claiming a warranty for an existing system you might be doing service work on.

On rare occasions you might be charged a small fee for warranty claims by your distributor. This sometimes happens when they don’t sell the equipment directly.

Sensible HVAC Wholesale can’t reimburse any costs associated with local warranty claims.

Cancellations and refunds

Sensible HVAC Wholesale makes it easy to cancel and refund your purchase.

Cancellations are only possible before we ship your order. We’re unable to accept cancellation requests via email. Please cancel your order by calling Sensible HVAC Wholesale as soon as possible at 1-800-539-0685.

Our team will issue an authorization that cancels your order. We have to issue this authorization before we can process a refund.

We do charge for cancellations depending on the situation. Charges can include:

  • A 5% cancellation fee if you cancel before we package your order.
  • A 10% restocking fee if we’ve already packaged your order.

Once we authorize the cancellation, we will process your refund in 5-10 business days. Sensible HVAC Wholesale will always refund your order in the same way it was ordered. For example, if you ordered with a credit card, we will refund the purchase to that same credit card.

Frequently Asked Questions

Do you ship internationally?

Sensible HVAC Wholesale doesn’t ship internationally. We’re only able to ship to the contiguous lower 48 states.

When will you ship my order?

Sensible HVAC Wholesale processes items Monday through Friday during standard business hours. This excludes business holidays.

If you place your order by noon Central time, we will ship your order within 1-2 business days. Keep in mind that this processing time will be the same no matter which shipping option you choose. Processing times give our team time to prepare your order with care and accuracy.

The shipping time starts once your order leaves our warehouse. While we try our best to get your order to your doorstep as soon as possible, shipping time can be affected by your location, weather, and freight availability.

Because of these factors, Sensible HVAC Wholesale can’t guarantee shipping times. Your delivery time may change without notice.

Can I install my equipment the day it arrives?

We don’t recommend scheduling installation based on your equipment’s estimated delivery date.

Depending on shipping factors and sales volumes, your shipment could be delayed for up to 2 business days. Or if a component is on backorder, it may take more time to arrive.

Please wait to receive all of your equipment before scheduling installation for the most efficient experience possible.

What if I have a damaged product?

Once you sign the delivery receipt, you’re responsible for any damage to the system or to the packaging.

For that reason, we strongly recommend that you inspect the packaging, product, and number of packages before signing the delivery receipt. If you’re missing a package and don’t note it on the receipt, you won’t have any recourse.

When you receive your order, please look at it carefully. While small dents might happen to your shipping container or box during transit, these are just cosmetic and won’t affect the components inside.

You have the right to refuse any package that’s in a damaged condition, as long as you don’t sign the delivery receipt. If the shrink wrap around the shipment is torn or replaced with another wrap, please indicate that on the delivery receipt.

To report the damage, note it on the delivery receipt. Have the driver sign the receipt and call Sensible HVAC Wholesale immediately at 1-800-539-0685.

If the packaging looks fine, but you later open the package and discover damage, you’ll need to settle with the freight company.
